You don’t have to do everything on your own at trade shows. For Visualize Expo, we chose to partner with a company that knows the local market and its audience inside out. This allowed us to focus on what we do best – designing, producing, and showcasing effective display solutions. The result? A record-breaking number of leads. Visualize Expo – a high-stakes international event

Visualize Expo is one of the most important trade events in the Benelux region. Dedicated to producers, distributors, and resellers of exhibition systems, it gathers professionals who work with trade show environments on a daily basis.

Though regional in scope, the event attracts visitors from across Europe. For many exhibitors, participating in a show of this scale means significant logistical and financial investment. That’s why we opted for a strategic partnership – combining forces with Partners In Events to better divide responsibilities and maximize the event’s potential.

A coordinated partnership with Partners In Events – two teams, one goal

Partners In Events knows the Benelux market well. They have strong relationships with local resellers and a deep understanding of the needs of regional buyers. We, on the other hand, bring systems that perform on the trade show floor – both visually and functionally. Instead of two separate booths, we chose to create a unified, shared presence.

This setup required no compromises. Our roles were clear and naturally complementary. Partners In Events handled space booking, accommodations, and coordination with the organizers. We took charge of booth design, production, and setup. We aligned on the vision, mapped out responsibilities, and each team did what it does best.

Combining the strengths of a manufacturer and distributor delivered outstanding results. The booth drew attention, and together we had more influence in negotiations with organizers. This led to the inclusion of large, eye-catching sponsorship elements, which boosted the visibility of both adsystem and Partners In Events, as well as raised awareness of our product quality. Our solutions had the space to show their full potential.

Show, don’t tell – a booth that communicated through visuals

Our goal in designing the Visualize Expo booth was simple: let the products speak for themselves. A centrally placed Video Counter with RGB framing caught visitors' eyes from the entrance. Around it, branded counters, colorful lightboxes, and modern structures created an engaging display.

The space functioned as a product showcase and a welcoming meeting area. Visitors asked about lighting, tested mobility, and examined the details. We were ready to demonstrate everything live – no presentations, no brochures. Just real systems in action.

Record-breaking lead generation – the results of collaboration

Visualize Expo proved once again that well-planned partnerships deliver measurable outcomes. Sharing booth responsibilities allowed us to optimize costs and extract the most value from the event.

In just three days, we generated over 400 leads – our highest number yet. Among them were brand-new prospects and returning contacts who came back with specific requests. We’ve already had follow-up meetings and showroom visits with several of them.

But the numbers only tell part of the story. Visualize Expo gave us something even more valuable: direct market insights. We saw first-hand what catches attention, what keeps visitors engaged, and which questions come up most often. These observations offer crucial guidance for what to improve or focus on in future projects.

What’s next? Takeaways from Visualize Expo

Visualize Expo showed us that a successful partnership doesn’t end when the booth comes down.

We’re more convinced than ever that the “manufacturer + distributor” model works in practice. We’re already brainstorming new ideas for future events, exploring different spaces and formats for collaboration. Visualize Expo was both a proving ground and a source of inspiration. One thing is certain – this wasn’t a one-time project. We’re ready for more.
